DATE Friday July 9th through Sunday July 11th, 2010 LOCATION Fred Beekman Park 2200 Carmack Road The Ohio State University Columbus, OH 43210-1003 Coffey Road Park 2027 Coffey Road The Ohio State University Columbus, OH 43210-1043 Pickerington Central High School Softball Complex 300 Opportunity Way Pickerington, OH 43147-1296 10U & 12U age group games @ Coffey Road Park on Friday & Saturday 14U age group games @ Pickerington Central on Friday & Saturday 16U & 18U age group all games @ Fred Beekman Park Final (4) teams in 10U and 12U will advance to Fred Beekman Park on Sunday. Final (16) teams in 14U will advance to Fred Beekman Park on Sunday. MISSION STATEMENT The competitive purpose of this softball tournament is to provide a quality playing venue with like teams so that the 16U/18U softball athlete can state her case for why she should be playing at the next level. Even though this applies primarily to the older age groups, it is not too early for the 10U/12U/14U age groups to get accustomed to the competitive nature of this event. TEAMS - PLAY-UPS WILL NOT BE PERMITTED IN ANY AGE GROUP 10U = 8 teams - 35 foot pitching distance 12U = 16 teams - 40 foot pitching distance 14U = 24 teams - 40 foot pitching distance 16U + 18U = 64 teams - 43 foot pitching distance for both age groups Split between 16U and 18U will be based on application strength and proportion. Both age groups will play to their own championship. FORMAT (5) game minimum - (4) pool games with teams to be seeded 1 through X into a single elimination bracket. See tournament rules for seeding procedure. 1 hour & 15 minute time limit - no time limit on championship games Schedule requests and changes will not be able to be accomodated COLLEGE PLAYERS ASA eligible softball athletes having completed one year of playing in college at the D1, D2, D3, & NAIA level are NOT ELIGIBLE to compete in the tournament. ASA eligible softball athletes having completed one year of "redshirting" in college at the D1, D2, D3, & NAIA level are ELIGIBLE to compete in the tournament. ASA eligible softball athletes having completed one year of playing in college at the NJCAA level are ELIGIBLE to compete in the tournament. AWARDS 1st PLACE - team award along with individual player awards 2nd PLACE - team award along with individual player awards ENTRY FEE $525 personal check or money order only made out to "Ohio Stingrays" Entries will not be considered without payment enclosed NO REFUNDS will be given after your team has been accepted into the tournament GATE FEE There is no gate fee at any playing site. Coolers can be brought into any playing site. DUE DATE All entries must be postmarked by Saturday November 14th, 2009 SELECTION PROCESS WILL NOT begin before this date SELECTION WILL NOT be done on a first come, first served basis SELECTION Selection will be determined by committee. Many criteria will be used to determine the final field. Every year it is a painstaking process that we approach with a great deal of effort. Among the factors to be considered will be strength/results of 2009 playing schedule, strength of proposed 2010 playing schedule, completeness/honesty of paperwork, and for 16U/18U teams, listing of colleges/universities following team. Due to the number of applicants, we will not be able to provide teams with individual explanations of why they were not accepted into the tournament field. Thank you for understanding. NOTIFICATION All teams will be notified of their playing status via e-mail by 8:00 am Monday November 23rd, 2009 at the latest. CHECKS No checks will be cashed until a team has been notified of being accepted and the team responds by e-mail that it will accept the invitation. The main purpose of this is to insure that a working e-mail link has been established between the team and the tournament director. All communication regarding the tournament will occur via e-mail. Checks of teams not accepted into the tournament field will be torn in two separate halves and photo copied for our records - the torn check halves will be shredded. We will not be able to return un-cashed checks and entry forms. PARKING Ohio State Transportation and Parking will charge a $3 flat rate per car per day. Please refer to the following web site for an explanation on the use of the PayNDisplay machines. These machines only take coins or credit cards. http://www.tp.osu.edu/visitorsmain/parking/payndisplay.shtml Disregard the $1.00 per hour rate on Friday - the flat rate will apply at the tournament instead. The Ohio Stingrays have no control over this policy and receive no revenue from the parking fees. Thank you for understanding. Parking at the Pickerington Central High School Softball Complex is free. RULES PLEASE DOWNLOAD THE 2010 TOURNAMENT RULES BELOW AND READ THEM ASA Sanctioned Tournament governed by 2010 ASA Official Rules of Softball except as follows: Teams will be permitted unlimited defensive substitution in all games. Teams may bat any number of players in all games from a conventional ASA 9-player batting order through the maximum number of players on the team - it is up to the coach and must be declared before the start of the game. However, the total number of players starting the game must be the same at the end of the game. Any team batting less than the maximum number of players on the team can make an offensive substitution, but it must be reported to the umpire and the opposing team. If a team bats all their players and an injury occurs to any player and that player is not able to continue, that player's spot is recorded as an out. Pitcher and catcher may have a courtesy runner. Courtesy runner is to be last out or another player not in the game. Excessive behavior and/or use of profanity by any adult or player will lead to ejection from the game and could lead to denial of entry for the team next year. WEATHER The Tournament Committee can and will control as many aspects as possible to insure that your team has the best playing experience possible, but weather is not one of them. In the event of inclement weather, The Ohio State University and the Tournament Committee will do their very best to get all games in - the grounds staff will be prepared with adequate materials for getting wet fields into playing shape. But, you are applying to the tournament realizing that the Tournament Committee reserves the right to alter this event in any manner we see fit to accomplish the mission of showcasing the softball athletes with the maximum number of games possible under the circumstances. Coaches will receive a rain line phone number at check-in. The Ohio Stingrays will have the use of the Pickerington Central Softball Complex and Coffey Road Park for Sunday if need be due to inclement weather and reserve the right to play out the 14U, 12U, and 10U age groups there as opposed to bringing the remaining teams to Beekman. REFUNDS If the tournament is rained out in its entirety, refunds will be based on: (Entry Fees minus Non-Recoverable Costs minus Games Played) divided by (Paid Entries) Every inclement weather situation is impossible to predict and create a refund policy for. The Ohio Stingrays will make every attempt to be fair to teams that are not able to complete their 5-game minimum, but will not be able to define refund formulas for these situations before hand. Please allow (2) to (4) weeks for an inclement weather refund. As of November 15th, the entry process is closed for the 2010 tournament. Thanks to all
